Your travel checklist

Follow these steps to get approved, travel and get reimbursed. Open a step for the full instructions.

GME approval required before booking.

Get every question to the program coordinator before you make a single arrangement — that is how nobody misses part of their refund.

  1. Step 1: Get your IRB, QI or CR numberYou · As soon as the abstract is accepted
    1. Pick the form that fits from the IRB website: Case Report (1–5 patients), Quality Improvement, Not Human Subjects Research (no living people and no medical records), or a Research Application through DASH Research IRB (DR IRB) for human-subjects research. Read the form instructions carefully.
    2. Email the completed form to the IRB office (C. Langley). If you are unsure whether it is research or QI, ask the IRB office first.
    3. The IRB reviews it and emails the outcome to the PI. Nothing back within a week? Call the IRB office to make sure they received it.
    4. You will come away with a CR#, a QI#, or an IRB#. That number goes on the travel request.
    5. Every author on the abstract must be listed on the IRB-approved project. GME forwards each request to the IRB to check, and rejects it if anyone is missing.

You need an IRB number before anything else — even if your project would not normally need IRB approval. No number, no travel approval.

  2. Step 2: Submit the GME Travel RequestYou · At least 14 days before travel starts (30 if international)14 days
    1. Complete the GME Resident/Fellow Travel Request in MedHub (it opens a Microsoft Form) with your IRB, QI or CR number, and attach your accepted abstract.
    2. Send the GME office (Terra Goosie) a PDF of each, taken from the conference website: the conference schedule/agenda, the registration rate (if registration is required), and the conference hotel rate(s). Dr. Dudney will not approve the request without them.

    You will need

    • Your IRB, QI or CR number
    • Your accepted abstract
    • Conference schedule/agenda — PDF, from the conference website
    • Registration rate — PDF, only if registration is required
    • Conference hotel rate(s) — PDF, from the conference website

Domestic: submit at least 14 days before travel starts. International: at least 30. Missing these may delay or deny approval (Policy 5.8).

  3. Step 3: International trips: the extra formYou · With the travel request, at least 30 days before travel30 days
    1. International: also complete the International Travel Request Form and email it with your abstract to Terra Goosie. It asks for your name, training program, the title of the presentation, the conference written out in full (no acronyms), the conference dates, and the city and country. It is signed by Dr. Tina Dudney (DIO and Assistant Dean, GME) and Dr. John Wall (Interim Dean, GSM), and both must approve before you book.
    2. International, once approved: complete the UTHSC International Travel Registration.

Travel outside the continental US needs the Department Chair’s and the Assistant Dean of GME’s approval and may not be granted.

  4. Step 4: Set up DASH — first trip onlyYou · Once, before your first trip
    1. Go to DASH → Employee Self-Service (Finance, Human Resources, Facilities) → Sign in with UT_CAS, using your UTHSC NetID (NetID@uthsc.edu).
    2. Contact Info, in the sidebar: check your legal name, home address, contact information and email.
    3. Dashboard → Expense icon → the gear, top right → Manage Delegates.
    4. Click + , search for Terra Goosie, select her and Save. Do the same for Jamie Neary.
    5. Do not click + again after saving the last delegate.
  5. Step 5: Wait for GME approvalThe program director and the DIO · Before you book anything
    1. The program director and the DIO, Dr. Dudney, approve the request. GME forwards it to the IRB to check that every author is listed on the project.
    2. You and the program director are emailed when the trip is approved.

Book nothing until GME has approved the trip. Travel booked before approval is not reimbursed.

If you do not submit a request and have it approved before the conference, you will not be reimbursed.

  6. Step 6: Book your travelYou · Only after GME approval
    1. Flight: book with the airline directly, or through DASH / World Travel (877-210-8189), UT’s travel agency. Economy only.
    2. Hotel: book through the conference website at the conference rate, and confirm the conference rate at every step — especially at checkout. Never book a hotel through DASH.
    3. Registration: GME can pay it in advance, or you pay and are reimbursed afterwards. If GME pays and the site needs a login, give it to the GME office; if you choose sessions, say which.
    4. Need a comparison quote? Get it now, the same day you buy the ticket. Adding personal days with no other destination: ask the GME office first whether you need one.

No Expedia, Travelocity or Priceline. Hotel through the conference; flight through the airline or DASH.

Confirm the conference rate at every step of the hotel booking — especially at checkout.

Flying from an airport not on the list, or adding personal travel with other destinations? Get a comparison quote the same day you buy, or you may pay for the flight yourself. Adding personal days with no other destination? Ask the GME office whether you need one before you book.

    Comparison quote

    You need one if

    • You are combining the conference with personal travel that includes additional destinations.
    • You are flying out of any airport not on the list below.

    Airports that need no quote

Knoxville · Chattanooga · Nashville · Memphis · Jackson · Atlanta, GA · Paducah, KY · Huntsville, AL · Birmingham, AL

    The quote must be

    • Standard coach airfare, from the same booking source and the same airline as the ticket you buy.
    • Obtained the same day you purchase the ticket.
    • UT pays the lesser of the two. Without the quote, you may be paying for the whole flight.

Adding personal days before or after the conference but no other destination? Ask the GME office (Terra Goosie) whether you need a comparison quote — before you book the flight.

What gets paid

UT travel policy, as GME applies it. Open a row for the limits.

Travel days1 day either side domestic, 2 international
  • Domestic: you may travel the day before the conference starts and the day after it ends.
  • International: two days before and two days after.
  • Anything beyond that is personal travel. Whether the flight then needs a comparison quote is below.

AirfareEconomy, airline or DASH / World Travel
  • Standard coach (economy) fares only.
  • Book with the airline, or through DASH or World Travel (877-210-8189). World Travel is the one third-party booking that is allowed, for flights and rental cars.
  • Another third-party site (Travelocity, Expedia, Priceline) is strongly discouraged. If you use one anyway, you must supply a full itemised breakdown of its taxes and fees — GME will not work them out for you, and reimbursement may be delayed or denied.

LodgingConference hotel at the conference rate
  • The designated conference hotel or overflow hotel is reimbursed for room and tax at the conference rate.
  • The receipt must be itemised by day and in your name. Proof of the conference rate from the conference website or brochure is required.
  • Another hotel of your choice is capped at the lesser of 150% of the GSA (CONUS) rate or the conference hotel rate. If the conference publishes no rate, the cap is 150% of CONUS.
RegistrationThe registration rate only
  • GME pays the conference registration rate. Extra courses or sessions are at your own expense.
  • Pay it yourself and claim it afterwards, or ask GME to pay it in advance.
MealsGSA per diem — no food receipts
  • Paid at the GSA per diem for the city where you spend the night.
  • The departure day and the return day are paid at 75%.
  • If the conference provides meals you may deduct them, but are not required to. A conference schedule is required either way.
Driving & rental carsMileage or gas, never both
  • You may drive instead of flying, and claim either mileage or gas purchases — not both.
  • A rental car is allowed when you fly. Rent the most economical car that does the job.
  • No pre-paid fuel or fuel-service option. Refuel before returning it and keep the gas receipts.
ParkingReimbursed; keep the receipt
  • Parking while travelling may be reimbursed.
  • GME requires a receipt for anything over $50. The coordinator asks for every one.
More than one trip, or more than one authorPD and DIO approval
  • Generally one funded trip per fellow per academic year. A second needs the program director’s approval and the DIO’s final approval, still up to $2,500 per trip.
  • Travel is supported for presenting an accepted abstract at a state, regional or national meeting, or for serving on a national committee or educational organization.
  • When two or more trainees are on one abstract, GME supports one of them — ordinarily the first author or the listed contact. The program director may ask for an exception.
  • Two or more trainees presenting a workshop together may all be supported if the program director endorses it to the DIO in writing before the trip.
  • Travel outside the continental US needs the Department Chair’s and the Assistant Dean of GME’s approval and may not be granted.

Receipt reference

Keep all of them except food. A credit-card statement is not a receipt.

Conference registration receipt: conference name, amount charged and paid, $0.00 balance, card used.

It must show

  • Name of the conference
  • Amount charged
  • Amount paid, with a $0.00 balance
  • Card used
Example SMFM 2025 Pregnancy Meeting: the conference by name, $395.00 purchased and paid, Total Due $0.00, Visa ending 8210. A forwarded confirmation email is fine when it reads like this.
True of every receiptIssued by the vendor, legible, with the card used
  • Issued by the vendor, and legible
  • Vendor name and address
  • Method of payment — the last four digits of the card
  • Date of purchase and the amount
  • Itemised description of what was bought
